Study and Meeting Rooms

The Library has five meeting and study rooms available for use by the public according to the following guidelines.

To reserve a study room, the Jeanne Couture Room, or the Conference Room, contact the Reference Desk at (207) 513-3135 or LPLReference@LewistonMaine.gov.

To inquire about reserving Callahan Hall, contact the Library Director’s Office.

STUDY ROOMS

Study Room A (the Business Information Center) and Study Room B are located on the library’s second floor. Each room seats up to 5 people around a table and includes a desktop computer.

Study Room Policies

  • Study Room A may be reserved by those ages 18 and older. Study Room B may be reserved by those ages 13 and older. Those ages 12 and under must be accompanied by an adult.
  • A person or group may make up to 3 advance reservations at any one time. (This limit applies across all library meeting rooms.)
  • You may reserve a study room once per day for up to two hours. At the end of your session, if no one is waiting to use the room, you may request to continue using the room for one additional hour. Patrons must ask to extend their time; it does not extend automatically.
  • Our study rooms are located within a designated Quiet Area. Complaints about excessive noise will result in a warning. If the noise or disruption persists, you may be asked to vacate the room.

Who Is Eligible to Use a Study Room?

  • Study rooms may be used by those:
    • holding an LPL or APL library card in good standing
    • working for a local or regional school or non-profit agency
    • working for a government agency
  • These restrictions are intended to preserve the availability of our study rooms for member card holders. Those who do not meet the criteria listed above may register for a library card to use a study room or may complete a Facility Use Application to use the Couture Room or Conference Room (see next section).

MEETING ROOMS

The Jeanne Couture Room is located on the library’s first floor. It seats up to 28 people (16 in chairs facing inward at tables placed in a “hollow square” formation, plus 12 in chairs against the wall). Food is allowed if staff are notified in advance when the reservation is made.

The Conference Room is located on the library’s third floor. It seats up to 15 people (12 in chairs around a single long conference table, plus 3 in chairs against the wall). Food is not allowed.

Couture & Conference Room Policies

  • The Couture Room or Conference Room may be reserved by those ages 18 or older.
  • A person or group may make up to 3 advance reservations at any one time. (This limit applies across all library meeting rooms.)

The Facility Use Application

  • You must have a current Facility Use Application on file before you can apply to reserve the Couture Room or Conference Room. This is an annual application that is valid from the date it is approved until the end of the City’s fiscal year (June 30).
  • This application must be accompanied by a $50 fee. This fee is non-refundable and does not apply to government offices or agencies.
  • To allow adequate time for processing, the application and fee must be submitted at least seven days prior to the day you’d like to use the room. (Please note: If we determine that your application must be reviewed by the City’s Facilities Use Review Committee, this will extend the amount of time needed to process your application beyond seven days.)
  • Your application will be reviewed for approval based upon the criteria established in Sections 4 and 5 of the City’s Facility and Park Use Policy.

The “Application to Reserve a Meeting Room” and Room Use Fees

Once you have a current Facility Use Application on file, you may submit an Application to Reserve an LPL Meeting Room.

  • The Couture Room and Conference Room may be reserved free of charge by those working on behalf of any government office or agency. All others will need to pay the applicable room use fee  for each use. For details, see the City’s Room Use Fee Chart.
  • If room use fees have not been paid within three Library (Mon-Sat) business days, your room hold will be cancelled.
  • No room use fees will be refunded upon the cancellation of any booking unless the cancellation is made at least 30 days prior to the event.

CALLAHAN HALL

Callahan Hall is located on the library’s third floor and has a seating capacity of 130 when set up auditorium-style and 104 when set up with banquet tables and chairs.

The primary use of Callahan Hall at the Lewiston Public Library is for City and Library sponsored programs that fit the following puposes:

  1. Cultural and arts events.
  2. Programs which celebrate ethnic diversity and promote inter-cultural communication.
  3. Educational programs, lectures, workshops, and seminars.

All applications for use of Callahan Hall must fit under one of the three purposes above. In order to ensure the availability of Callahan Hall for its primary uses, no application may be made more than 60 days in advance.
